Terms & Conditions

The ground rules for using this website and working with us. We have written them the way we write everything else here — plainly, and without burying the parts that matter.

The three things to know first

We provide medical documentation, not representation. VVS does not act as your representative before the VA and does not prepare, file, or present your claim.

We cannot guarantee any claim outcome. Rating decisions belong entirely to the VA.

Our opinions follow the evidence. We will not write an opinion the records do not support — that integrity is what makes our documentation worth submitting.

1.Agreement to these terms

These Terms & Conditions govern your use of this website and any services provided by Valor Veterans Services, a 501(c)(3) nonprofit organization (“VVS,” “we,” “us,” or “our”). By using this site or submitting a request through it, you agree to these terms. If you do not agree, please do not use the site.

You must be at least 18 years old, or the parent or legal guardian of the person whose information you are submitting, to use our services.

2.What VVS is — and is not

VVS is a veteran-founded 501(c)(3) nonprofit that provides evidence-based medical documentation — such as Nexus Letters and Disability Benefits Questionnaires — prepared by a licensed healthcare provider. That documentation becomes medical evidence you may choose to submit in support of your VA disability claim.

VVS is not, and does not hold itself out as:

  • A law firm, an attorney, or a provider of legal services of any kind.
  • A VA-accredited claims agent, attorney, or Veterans Service Organization representative. We do not represent veterans before the Department of Veterans Affairs, and we do not prepare, present, or prosecute claims on your behalf.
  • Affiliated with, endorsed by, or acting on behalf of the Department of Veterans Affairs or any other government agency.
  • A substitute for your primary care provider, your VA healthcare team, or ongoing medical treatment.

You are always free to work with a VA-accredited representative or attorney, and you may do so alongside our services. Accredited representation is available at no cost through Veterans Service Organizations.

3.No guarantee of claim outcomes

Valor Veterans Services provides evidence-based medical documentation. We do not guarantee claim outcomes.The VA alone decides whether to grant service connection and what disability rating to assign. Those decisions depend on the full evidentiary record, applicable regulations, and the VA's own review — none of which we control.

Nothing on this website, in our communications, or in any document we prepare is a promise, warranty, or prediction of a particular result. Any examples or general timeframes we describe reflect past experience and are not assurances about your claim.

4.Our services

Clinical independence

Every opinion we issue reflects the provider's honest, independent clinical judgment based on your records and current medical literature. We do not write to order. If the evidence does not support the opinion you were hoping for, we will tell you directly rather than produce a document that will not withstand VA scrutiny. Requesting or paying for our services does not entitle you to a particular conclusion.

Scope of engagement

Contacting us — by form, phone, or email — does not by itself create a provider-patient relationship or obligate us to accept your case. A relationship begins only when we expressly agree to work with you and you complete any intake, consent, and authorization we require. We may decline or discontinue a case, including where the records do not support an opinion or where we are not the right fit for your needs.

Submission of your claim

You are responsible for submitting your claim and our documentation to the VA, and for meeting every VA deadline. We do not file anything on your behalf and cannot monitor the status of your claim.

5.Not medical or legal advice

The content on this website is general information about our services and the VA claims process. It is not medical advice, legal advice, or a diagnosis, and it does not create a provider-patient or attorney-client relationship. Do not disregard or delay professional advice because of something you read here, and do not start, stop, or change any treatment based on this site.

6.Emergencies and crisis support

This site is not for emergencies

We do not monitor messages around the clock and cannot respond to urgent medical or mental health needs. If you are experiencing a medical emergency, call 911.

If you are in crisis or having thoughts of suicide, the Veterans Crisis Line is available 24/7 — dial 988, then press 1, or text 838255. You do not need to be enrolled in VA healthcare to use it.

7.Your responsibilities

By using our services, you agree that:

  • The information and records you provide are accurate, complete, and genuinely yours to share. Withholding or misrepresenting relevant history undermines the documentation and can damage your claim.
  • You will not submit another person's records without their authorization, or your authority as their legal guardian or representative.
  • You will not ask us to overstate a condition, alter a clinical finding, or produce documentation that misrepresents your health. Submitting false information to the VA can carry serious legal consequences.
  • You will keep your own copies of the documentation we provide and of anything you submit to the VA.

8.Fees, donations, and refunds

As a nonprofit, our mission is to make quality documentation accessible regardless of a veteran's ability to pay. Any fees for a specific service are quoted and agreed with you in advance, before work begins. Fees pay for the professional time and expertise involved in reviewing records and preparing documentation — never for a particular conclusion or a VA outcome.

Donations made to VVS are voluntary and non-refundable, and are tax-deductible to the extent allowed by law. Donations are processed by third-party payment platforms under their own terms; VVS does not receive or store your payment card or bank details.

9.Acceptable use of this website

You agree not to:

  • Use the site for any unlawful purpose, or to submit content that is fraudulent, malicious, or infringing.
  • Upload malware, attempt to breach or probe our systems or storage, or access any account, submission, or record that is not yours.
  • Scrape, harvest, or automatically collect information from the site, or attempt to overwhelm or disrupt it.
  • Impersonate any person or misrepresent your affiliation with any person or organization.

We may suspend or terminate access for anyone who violates these terms, and may report unlawful activity to the appropriate authorities.

10.Intellectual property

The content, design, logos, and name of Valor Veterans Services are owned by VVS or its licensors and are protected by intellectual property law. You may view and print pages of this site for your own personal, non-commercial use. You may not otherwise copy, redistribute, or use our content or branding without our written permission.

Documentation we prepare for you is provided for use in support of your own VA claim. You retain full ownership of the records you send us; sending them gives us permission to use them only for the purposes described in our Privacy Policy.

11.Privacy

Our Privacy Policy explains how we collect, protect, and use your information, and it forms part of these terms. Please read it before submitting records.

12.Disclaimer of warranties

This website is provided “as is” and “as available,” without warranties of any kind, express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the site will be uninterrupted, error-free, or secure against every threat, or that information on it is complete or current.

This disclaimer applies to the website itself. It does not limit the professional standard of care that applies to clinical services provided by a licensed healthcare provider.

13.Limitation of liability

To the fullest extent permitted by law, VVS and its officers, directors, employees, contractors, and volunteers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost benefits, lost opportunity, or any adverse decision by the VA, arising from your use of this website or our services.

To the fullest extent permitted by law, our total liability for any claim relating to this website or our services will not exceed the amount you paid us for the service giving rise to the claim, or one hundred dollars ($100) if you paid nothing.

Some jurisdictions do not allow certain limitations of liability, so parts of this section may not apply to you. Nothing in these terms limits liability that cannot lawfully be limited, including liability for gross negligence, willful misconduct, or personal injury caused by professional negligence.

14.Indemnification

You agree to indemnify and hold harmless VVS and its personnel from claims, losses, and expenses (including reasonable attorney fees) arising from your violation of these terms, your misuse of the website, or your submission of information that is false or that you had no right to share.

15.Governing law and disputes

These terms are governed by the laws of the State of Oklahoma, without regard to its conflict-of-laws rules. Any dispute arising from these terms or your use of this website will be brought exclusively in the state or federal courts located in Oklahoma, and you consent to their jurisdiction.

Before filing anything, please contact us — most concerns are resolved with a conversation, and we would rather have that conversation.

16.Changes and general terms

We may update these terms from time to time; the “last updated” date at the top of this page reflects the current version, and continuing to use the site after a change means you accept it. If any provision is found unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver of it. These terms, together with our Privacy Policy and any service agreement you sign with us, are the entire agreement between us regarding this website.
